Configuring Pipelines for Your Portal in WoodsPortal
Learn how to select which HubSpot pipelines and pipeline stages appear in your customer portal and set a default stage for new records.
Overview
Within the Pipelines tab of each object’s configuration, you control exactly which pipelines and stages portal users can interact with. You can hide unwanted pipelines, show only relevant stages, and define the default stage for newly created records.
Before you begin

Admin permissions: You must be a Super Admin or Partner Admin in HubSpot.
Step-by-Step Instructions

Open the Pipelines Tab

In WoodsPortal Admin, go to HubSpot Objects.

Select your object (e.g., Deals, Tickets) and click Configure.

Switch to the Pipelines tab.

Enable Pipeline Visibility

For each pipeline listed, use the Visible toggle to show or hide it in your portal.

Only pipelines with Visible turned on will appear to portal users.

Configure Pipeline Stages

Click Configure Stages next to a visible pipeline.

In the stages list, toggle Visible on for any stage you want portal users to see.

Uncheck stages that should remain internal.

Set the Default Stage

After selecting visible stages, choose one stage from the Default Stage dropdown.

New records created via the portal will automatically enter this default stage.

Save Your Changes

Click Save at the bottom of the Pipelines tab to apply visibility and default settings.

Troubleshooting
Issue | Resolution |

Pipeline not listed | Confirm the pipeline exists in your HubSpot account under Settings > Objects > [Object] > Pipelines. |
Stage missing in Configure Stages dialog | Ensure the pipeline is marked Visible, then reopen Configure Stages to see its stages. |
Default Stage dropdown is empty | Toggle at least one stage to Visible before setting a default. |
