Customizing Object Record Creation Forms in WoodsPortal

Learn how to tailor the object record creation form—add, remove, and reorder fields, apply conditional logic, and rename labels—directly in WoodsPortal Admin.

 

Overview

WoodsPortal lets you fully customize the form users fill out to create new records (e.g., Tickets, Deals, custom objects). You can remove unwanted default fields, add any active property (including custom object associations), apply conditional logic, and rename field labels to suit your portal’s terminology.


Before you begin

  • Admin permissions: You must be a Super Admin or Portal Admin in WoodsPortal.

  • Object activation: Ensure the target object (e.g., Tickets, Custom Project) is activated under WoodsPortal Admin > HubSpot Objects.


Step-by-Step Instructions

  1. Access the Object Configuration

    • In WoodsPortal Admin, go to HubSpot Objects.

    • Select the Standard Objects or Custom Objects tab, then click Configure next to your target object (e.g., Tickets).

  2. Open the Form Editor

    • Within the Configure panel, click the Form tab to launch the form layout editor.

  3. Remove Default Fields

    • Hover over any form field (e.g., Ticket Owner) and click Remove (🗑️) to delete it from the form if not required.

  4. Add New Properties

    • In the Properties sidebar, find and click any field you want to include (e.g., Priority, Description, Custom Project).

    • The field appears in the form—use drag-and-drop to reposition it.

  5. Apply Conditional Logic (Optional)

    • Click a field ▶ Add Logic.

    • Define your condition (e.g., show this field only if another property “is equal to” a specific value).

    • Leave blank for no conditions.

  6. Edit Field Labels

    • In the form layout, click a field ▶ Properties ▶ click the current label (e.g., Ticket Description).

    • Enter a new display label (e.g., “Description”).

    • Changes apply throughout the portal wherever that field appears.

  7. Save Your Form

    • Click Save to persist your layout and label changes.

  8. Verify in the Portal

    • Navigate to your live portal page and go to the object’s tab (e.g., Tickets).

    • Click Create Ticket (or Create [Object]) to confirm your form reflects the updated fields, order, and labels.

    • If you’ve added a custom object association (e.g., Custom Project), ensure those records exist in HubSpot so they appear in the dropdown.


Troubleshooting

Issue Resolution
New property not appearing in sidebar Activate the property’s object in WoodsPortal Admin > HubSpot Objects, then refresh the editor.
Conditional logic not working Reopen the field’s Logic settings and verify your condition and target values are correct.
Label change not reflected Confirm you saved the form and clear any portal page caches before testing.
